In over a decade of collaborating with conference organizers to host the best events possible, we’ve learned a lot. Having supported more than 600 international conferences, we’ve worked with organizations big and small, in dozens of countries worldwide.

We also have experience with a range of poster numbers, ranging from a handful to more than 3,500 posters at a single conference. Our submission software is fully load-tested, and we’ve demonstrated we have the bandwidth to handle massive conferences without compromising quality or attention to detail. Particularly in the days leading up to a conference, which we know can be hectic, we do as much as we can to ensure things go smoothly for you and your attendees–regardless of whether they’re attending in person or virtually.

Unmatched Support

Scientific conferences don’t have to be stressful. Still, there’s a lot of planning involved for the organizers, and a lot of preparation required for poster authors and presenters. That’s why we do everything we can to take the burden off organizers and make the submission process simple and fast for authors.

How do we do this? By taking on the bulk of organizing, so that you don’t have to. Once we get approval from you, we handle all communications and published content, and do our best to help authors troubleshoot before they reach out to you. This frees up your schedule so you can focus on the rest of your duties, or just catch your breath.

We also have a real-time reporting feature, which allows you to see how many authors have submitted their poster prior to the deadline. If we notice there aren’t as many submissions as you’re expecting, our support team will reach out to you to discuss extending the deadline or sending a reminder email to authors. If you have other questions, we also offer one-on-one consultation calls grounded in years of experience.

We know how much support is needed during your conference itself. Our team is happy to travel on-site to support your in-person event if needed, and offer 24/7 online, live support via chat, email, or video chat for all types of meetings as well.

Tiered Payment Options and Add-Ons

SciGen is a company founded and run by doctors and researchers. We understand that sometimes funding is hard to find, and that budget needs can change from year to year. That’s why we offer tiered payment packages, each with available add-ons so that you only pay for what you want, nothing extra. It’s also why we don’t ask for 100% of payment upfront, so you have time to generate revenue before and during your event.

Our latest payment structure lets you choose features that make the most sense for you, such as the ability to charge author submission fees, as well as offering multi-event deals and sponsorship options.

We’re proud to work with many non-profit organizations and academic institutions. To be able to further the important research they do, we seek to make electronic posters affordable even for the smallest conferences and associations. One way we do this is by offering special pricing for educational institutions, to ensure access to our products and promote the advancement of scientific research and dissemination of knowledge.

No Hosting Fees, Ever

That’s right. We never charge extra web hosting fees, and promise to keep your conference’s dedicated website up for at least 12 months after your meeting. While other poster management platforms may seem cheaper at face value, they often will keep charging customers year after year if the customer wants to keep their conference’s posters online.

Maximizing the longevity of research is important to us because we support and appreciate researchers, students, and scientists for all that they do. We know how much hard work goes into posters–it’s a shame for them to be rolled up and put into closets, recycled, or taken offline just days after a conference has ended. With ePostersOnline, you can easily add a hyperlink to your poster to your CV, or browse other posters from your discipline, long after a conference has ended.

We also know there may be reasons you want to keep your research out of public reach, either due to privacy concerns or publishing agreements. For whatever reason, if you don’t want posters to be publicly available, we support that too, and can make your site password-protected at any point, so you decide who gets access.

Ιf there’s something you want to try for your event, we will do our best to make it happen–even if we’ve not done it before. Many features that are now staple components of ePostersLive started out as adaptations made from scratch, either due to circumstances like the pandemic or a client wanting to try something new.

The unique features we’ve developed in the last few years are one of the reasons we really value customer feedback. Without it, we might not have the capacity for oral presentations, ePostersReview (our judging tool), time-scheduled presentations, or our virtual meeting platform specifically designed for presenting poster research, ePoster Meet-Ups. Οur new and improved Analytics Dashboard lets you see detailed statistics about your conference and make changes that increase engagement at future meetings.

Why Not ePostersLive?

ePostersLive is designed to be an end-to-end solution that meets all your needs, regardless of the size or format of your conference. Nevertheless, we realize that no software is the ideal tool for everyone.

While we are always updating ePostersLive and trying new things, there are some things we don’t do because we don’t think they add significant value to a conference. These may be reasons users look elsewhere, but after considering and trying them, we’ve noticed that these aren’t necessary components of hosting engaging and successful events.

No Poster Creation Tool

A long time ago, we tried asking authors to use web-based poster creation tools in order to submit their poster to a conference. Many authors would stop before completing the process, lowering engagement and ultimately conference size. That’s why now, we opt for PDF-based submissions instead. This allows authors to use the software they are most comfortable with, rather than having to learn something new.

If or when this changes, we will eagerly bring back a poster creation tool to make the process easier for authors.

No Hardware

With ePostersLive, you get both a software and a service. Due to the wide geographic range of our clients and their varying conference requirements, we have found that it’s best to let each client book the hardware set-up that best suits their needs.

For groups that aren’t familiar with A/V set-up or are organizing a conference for the first time, we provide hardware specs to give you a general idea of what you’ll need, and access to a global network of A/V companies with which we’ve cooperated, and are happy to train them or your staff prior to an event.

On top of that, our software is compatible with any screen, computer, and device. It is also touch-screen compatible so users can pinch to zoom, as well as accommodate multimedia such as video and audio files, or multi-slide presentations. These interactive tools are great ways to maximize engagement without being distracting or sacrificing valuable presentation time.
